The Challenge

The Starting Point

MICE companies in Singapore compete for a limited number of corporate conferences, incentive trips and award nights each year. Event management company singapore is searched about 1,000 times a month, and every agency claims flawless execution. Corporate clients choosing a partner want to see real events, real crowds and real energy, not a list of venues and services.

This company ran around 40 corporate events a year, but its website showed photos from events five years old and a slideshow with music. It had no video of recent events to send with proposals, so its pitches looked like everyone else's. The team received about 6 proposal requests a month and won 24% of the proposals it submitted. Clients also asked for event videos for their own internal communications, and the company had to send them elsewhere.

What We Did

What We Did

Phase 1, Month 1

Event Selection and Permissions

We chose four upcoming events that showed the company's range: a regional sales conference, an awards gala, an incentive trip and a product launch. We agreed filming permissions and brand rules with each end client.

Each event became both a deliverable for the client and a sales asset for the company. Clear permissions upfront meant the footage could be used in proposals afterwards. It also meant the company could show a range of event types, so prospects with very different briefs could see something close to their own.

Phase 2, Months 1 to 4

On-Site Filming

A two-person crew filmed setup, arrivals, keynote moments, audience reactions and behind-the-scenes coordination at each event, with short interviews with attendees and the client's organisers.

Behind-the-scenes footage showed what prospects never see in a brochure: a calm team solving problems in real time. That is often what decides who wins a large event. Short attendee interviews also gave the reels genuine reactions, which prospects found more convincing than any voiceover.

Phase 3, Months 1 to 4

Same-Day Edits

At each event we edited a 60-second same-day highlight reel that played on screen at the closing session and went to the client the same evening.

Seeing their own event on screen before guests left made clients proud of the day, and many of them shared the reel with their own leadership that night. Several end clients asked to keep the same-day edit for their own internal communications, which strengthened those relationships.

Phase 4, Months 2 to 5

Highlight Reels and Sales Assets

We edited a three-minute highlight film for each event, a showreel for the website and short clips for LinkedIn and proposal decks.

A showreel answered the question every prospect has: what does an event with this company actually look like? Short clips made proposals stand out in a stack of PDFs. The proposal team began embedding a relevant clip in each proposal, matched to the type of event being pitched.

Phase 5, Months 3 to 5

Distribution and Tracking

We added the showreel to the homepage and services pages, posted clips on LinkedIn with the client's permission, and tracked proposal requests and win rates against the previous year.

Measuring proposals and wins, not just views, showed whether the videos were helping the business or just looking good. The company also used the tracking to see which clips prospects watched most, which shaped the next year's filming plan.

The Results

The Results

Five months in, the company received 9 proposal requests a month instead of 6 and won 33% of its proposals, up from 24%. The website showreel was watched to the end by 64% of viewers, and highlight reels averaged 5,800 views each on LinkedIn. Four same-day edits were delivered on site, and two clients booked their next event with the company within weeks. Event videography also became a service the company now offers its own clients, instead of sending them elsewhere.

Key Takeaways

What We Learned

Your events are your best sales material

Every event a MICE company runs is proof of what it can do. Filming them turned work the team had already done into the strongest part of every new proposal.

Same-day edits impress the client in the room

A highlight reel played before guests leave makes the client look good in front of their own leadership. That moment is often what earns the next booking.

Show the team, not just the stage

Prospects want to know how the team handles pressure. Behind-the-scenes footage showed calm coordination that a list of services never could.

FAQ

Frequently Asked Questions

A short highlight video edited during the event and shown on screen before guests leave, usually at the closing session. It needs a dedicated editor on site working alongside the camera crew.
Only with the client's permission. We agree filming and usage rights with each client before the event, including what can appear in proposals and on social media.
Around 60 seconds for a same-day edit and two to three minutes for a full highlight film. Short clips of 15 to 30 seconds work best on LinkedIn.
They often do, because prospects can see your events instead of imagining them. Here, the proposal win rate rose from 24% to 33% over five months.
